Position Summary

Verisk is seeking an Administrative Assistant who has the ability and drive to provide high level support to multiple team leads within our HR and Corproate Development division. The responsibilities include advanced, diversified, and complex administrative and managerial support duties of a confidential and sensitive nature. This Administrative Assistant role requires the ability to collaboratively assist with activities and events such as coordinating high level meetings with customers, organizing off-sites, and creating and updating excel spreadsheets, presentations, handling travel, supporting changing schedule priorities, etc. The successful candidate will need to work collaboratively, maintaining continuous contact and personal communication with Verisk executive management and senior business leaders globally, as well as with external parties – including senior leaders of companies, vendors, and outside advisors. You will interface regularly with all levels of staff both internally and externally, as well as with visitors.

This position is based in our Jersey City, NJ office, conveniently located across the street from the Newport path station.  Just one stop from Christopher Street, we’re an easy 10 minute commute from lower Manhattan (and about 20 minutes from Brooklyn).

The day to day expectations of this role are:

• Schedule and coordinate meetings and events involving all stages of planning including logistics, vendors and materials.

• Make travel arrangements (domestic and international) including booking flights, hotel accommodations, ground transportation and visa processing.  Prepare itinerary for traveler with all the necessary travel information.

• Prepare, reconcile and track expense reporting and reimbursement via Concur.

• Organizes and maintains files, orders supplies and distributes mail as required.

• Assist with overflow, assistant back-up phone coverage and day-to-day tasks and provide support to senior executives as needed

• Generate documents, presentations and spreadsheets using Word, PowerPoint and Excel, as needed

• Responsible for updating and maintaining the HR Global SharePoint Calendar

• Keep record of team birthdays, anniversaries and special milestones and coordinate celebrations as needed

• Greet and settle visitors (including clients, candidates and other office employees).

• Build and manage relationships with other departments at Verisk; including facilities and IT/Help Desk

The qualified candidate will have:

•3-5 years' experience in an administrative role supporting management roles.  Bachelor’s degree strongly desired but not required.

•Excellent organizational, problem-solving and follow-up skills with the ability to effectively handle multiple priorities

•High proficiency in Microsoft Office required

•Experience creating and maintaining documents and calendars in  SharePoint a plus

•Prior experience submitting expenses and reviewing incoming correspondence / emails required.  Concur experience desired

•Effective interpersonal and listening skills, telephone etiquette, superior oral and written communication skills, proofreading skills and attention to detail

•Ability to work with pace, good humor and independence

•High level of motivation, integrity self-confidence and the ability to take initiative, collaborative team player with a proactive approach.
